Introduction

Meet Susan, the newly appointed church bookkeeper, eager to bring order and clarity to her church's finances. For today’s task, she faces a daunting challenge—understanding how money flows within the Chart of Accounts. In this course, Susan will learn how the Chart of Accounts structures financial transactions and how funds move using the Debit and Credit system.

Woman waving in an office space

As Susan reviews the Building Fund Chart of Accounts, she notices something odd. The ledger shows that revenue for the building fund is being credited from the building fund checking account. At the same time, the checking account has been debited with offerings and donations from church donors.

“Isn’t a debit supposed to mean money being taken out, like with a debit card? Why does this say that donor money is being debited into the checking account?”

She frowns, tilting her head in confusion as she scans the revenue account ledger. “And here—why does it show the same donor money that was debited into the checking account is now being credited into the revenue account? I am so confused!”

Then, grabbing another, “And this is the building expense ledger…” She looks down at three more spreadsheets. “How am I supposed to use these to figure out what’s going on with the building fund?”

“This money is from the daily offering. This money is for a mission trip…”

Woman confused about debits and credits

To track income and expenses accurately, bookkeepers must understand the basics of debits and credits—an essential accounting tool for monitoring how money moves in and out of a fund.
